Scenario Mia runs a successful sandwich shop in Birmingham. The shop provides a lunchtime sandwich delivery service for customers who phone in orders from their office or workplace. Her business started as a small, one-person enterprise, but it has expanded rapidly. She now has a number of employees, who are trying to work as a team to provide a good service to their customers but as the business has grown, the employees are making an increasing number of mistakes with orders they send out. Both staff and customers are becoming frustrated with the ordering system. This is what happens at the moment A customer rings up the shop to place an order; all calls are taken by the booking clerk, who is called Erica. If they are an existing customer Erica looks up their details in the card index file, if they are a new customer, a card is completed for them. The following information is required for the card; • name • address • telephone number Once a customer card has been completed the sandwich order is taken, customers usually order more than one type of sandwich with each order. The sandwiches available for order are on the menu flyer along with the codes and prices; this is contained in “Mia M” Erica knows a bit about computers and has decided to enter the customer details into a spreadsheet so she can do promotional mailshots more efficiently. The spreadsheet is available and is called “Customer ”. Sandwich orders are made by entering the details onto a paper order form; a copy of which has been provided (“order ”). The order form is then passed to the production part of the business where staff put their initials just before the company name column to show that they have made up the sandwiches on that line. This is an important part of the process as Mia uses the information to make sure work is being shared out properly amongst production staff. There is a manual record of staff as per the provided document (“staff ”), there are currently only two staff members but there are plans to expand the business. This is what you are going to do about it You have decided to use database software to provide a more efficient solution. The new database system will hold information about customers, sandwiches, orders and staff. The system will have to produce a daily order sheet for the production staff to use as well as allowing them to update orders with who has fulfilled them. The system will have to provide customer invoices and staff production reports.
